Quotation Scope and Cost Transparency

A freight quotation should identify the agreed transport services, charging basis, and potential additional costs.

01/

Included Services
The quotation should specify the services included, such as factory pickup, export handling, main carriage, customs brokerage, destination handling, and final delivery, as applicable.

02/

Additional Charges
Potential charges include customs inspection, storage, demurrage, detention, waiting time, special handling, duties, and taxes. Their applicability depends on the shipment and service scope.

03/

Incoterms and Responsibility
EXW, FOB, DAP, and DDP define different responsibilities between sellers and buyers. The applicable Incoterms rule, named place or port, and version should be confirmed when preparing the quotation.
For DDP shipments, confirm whether import clearance and payment of import duties and taxes can legally and operationally be arranged in the destination country.

04/

Rate Validity and Transit Estimates
The quotation should state its validity period, currency, charging basis, estimated transit time where available, and any assumptions or exclusions. Carrier rates and schedules may change before booking confirmation.

Shipment Handling Process

Transport Coordination
Coordinate shipment handovers and available tracking milestones. Communicate relevant status updates and address documentation or handling issues as they arise.

Customs and Final Delivery
Coordinate the agreed customs clearance and delivery arrangements with the responsible parties. Final delivery is subject to customs release, carrier schedules, destination access, and the confirmed service scope.
